Repco Beach Hop 2027 Event and Vehicle Entry Terms

1. About these terms

Repco Beach Hop 2027 runs from 17 to 21 March 2027. It is organised by The Whangamata Beach Hop Rock’n’Roll Festival Society Incorporated (the organiser). These terms apply to paid vehicle,

motorcycle, caravan and Saturday show entries, and to tickets or passes issued for organised Beach Hop activities. Additional conditions shown for a particular product, campsite, venue or prize promotion also apply. General public attendance at the festival is free; purchasing a vehicle entry does not make the whole festival a ticketed or age-restricted event.

2. Entry and registration

Vehicle and motorcycle entrants must purchase the appropriate entry and complete accurate vehicle and driver details by the published deadline. Purchasing a ticket alone does not complete a vehicle registration. The organiser may check eligibility, request further information, and decline

or cancel an entry that is inaccurate, incomplete or outside the published vehicle criteria. Entrants are responsible for checking the published vehicle criteria before purchase. An entry declined or cancelled because the vehicle is ineligible, or the details supplied are inaccurate or incomplete, will not be refunded unless required by law.

The vehicle criteria and activities included in each entry type are those displayed with that product at the time of purchase. A Saturday show entry allows access only to its specified Saturday show and does not include the Grand Parade, cruises or other organised activities unless expressly stated. Entrants must use only the activities, sites and parking areas included with their entry and follow any site-specific instructions.

3. Tickets, passes and identification

Present a valid ticket or electronic confirmation issued by Flicket or another outlet authorised by the organiser when requested. The organiser may exchange it for an entrant pass, wristband, vehicle sticker or other identification. Display and wear issued identification as directed. Damaged,

altered, duplicated or transferred identification may be refused. Contact the ticketing provider promptly if a ticket is lost; replacement may require proof of purchase and identity.

A ticket name change or transfer may be available through Flicket where enabled; any applicable fee will be shown during that process. Once transferred, the former holder has no rights to that ticket. Do not sell or transfer a vehicle entry, entrant pass or vehicle sticker without the organiser’s

approval. Tickets and passes must not be resold in breach of applicable law or used for advertising, competitions or commercial promotion without prior written permission. The organiser may enforce stated purchase limits and cancel excess orders, subject to applicable law.

4. Age, alcohol and licensed venues

Beach Hop is an all-ages, family event. Children and adults may attend, and there is no minimum age for general festival attendance or vehicle entry. Licensed bars, designated entertainment areas or particular activities may have their own age and identification requirements. Anyone buying or drinking alcohol must comply with the law and the conditions of the relevant licensed

area. Follow all current public-place liquor restrictions and signs; do not bring alcohol into an area where it is prohibited. Do not supply alcohol to minors.

5. Vehicles and road safety

Vehicles used on public roads must be road legal, registered and roadworthy, with a currentwarrant or certificate of fitness where required. Drivers must hold the appropriate licence and comply with road rules, Police directions and the instructions of the organiser and marshals.

Motorcycle riders must comply with applicable helmet requirements.

Dangerous or careless driving, burnouts and skids are prohibited at Beach Hop activities. The organiser may remove an entrant from the event and refuse future entries for such conduct.

Incidents may be reported to Police with relevant details and evidence where lawful. The organiser does not authorise any participant to breach traffic laws, road closures or permit conditions.

6. Conduct and event sites

Follow reasonable directions from event staff, marshals, security and emergency services. Behave respectfully towards other people, vehicles, property and the local community. The organiser may refuse entry to, or remove, a person who creates a safety risk, behaves in a disorderly or offensive way, breaches these terms or fails to follow lawful directions. Any decision about a refund remains subject to consumer law.

Access to a particular site, activity or parking area may be limited by capacity, safety, weather, ground conditions or permit requirements. An entry does not guarantee access once a site reaches its safe capacity. Do not set up a trade display or distribute promotional material without the organiser’s written approval. Animals are welcome at Beach Hop. Owners must keep them under

control, clean up after them and follow any lawful restrictions that apply at a particular venue or activity.

7. Photography and filming

Attendees may take personal photographs and recordings while respecting other people, private property, safety directions and any venue rules. Commercial filming, drone operation, media access or photography that obstructs an activity requires the organiser’s approval. By attending an organised Beach Hop activity, you acknowledge that the organiser and its authorised contractors may photograph, film and record the event, including entrants and their vehicles. They may use those recordings in Beach Hop reporting, marketing and promotion without further payment, subject to applicable law. Contact the organiser if you have a specific concern about an

identifiable image.

8. Changes, weather and refunds

Beach Hop is an all-weather, multi-day car event and is intended to proceed rain or shine. The organiser may alter or cancel individual routes, activities, sites, times or other parts of the programme because of weather, safety, road access, permit requirements or other operational reasons. Cancellation or change of one part of the programme does not entitle a purchaser to a

refund of their vehicle entry or ticket while the event proceeds. No refund is given if a purchaser chooses not to attend. Nothing in this clause limits any refund or other remedy required by New Zealand law.

9. Risk and liability

Entrants are responsible for their vehicles and personal belongings and should arrange suitable insurance. Take reasonable care around moving vehicles, crowds and temporary event facilities.

The organiser will take reasonable care in providing its services. Nothing in these terms excludes or limits rights or remedies that cannot lawfully be excluded, including under the Consumer Guarantees Act 1993. To the extent permitted by law, the organiser is not responsible for loss caused by an entrant’s own unsafe conduct, breach of these terms or failure to follow lawful

directions.

10. Personal information

The organiser and its ticketing provider collect information needed to process purchases, assess vehicle entries, issue passes, operate event activities, communicate important updates and administer safety matters. Relevant information may be shared with service providers, marshals, Police or authorities where necessary and lawful. Optional marketing from Beach Hop or sponsors will be sent only where you choose to receive it. Your contact details will be shared with a sponsor for its own marketing only if you separately agree. Personal information is handled under the Privacy Act 2020 and the organiser’s published privacy policy. Contact the organiser to request

access to or correction of your information.

11. Prize promotions and other conditions

A vehicle entry, festival programme or Beach Hop Club Card may offer access to a separate prize promotion. Each promotion has its own eligibility, entry, draw and claim rules; these event terms do not replace them. Club Card benefits and draws are also subject to separate terms. If one provision of these event terms is unenforceable, the remaining provisions continue to apply.
